Appointment Policies

Effective May 1, 2022 - If an appointment is missed or cancelled within the 48 hour window, a $65 fee will be charged.
Repeat cancellations or missed appointments will result in loss of future appointment privileges.

Missed Appointment & Cancellation Policy

Our goal is to provide quality orthodontic care to all our patients in a timely manner. No-shows, late arrivals, and cancellations inconvenience not only our provider, but our other patients as well. Please be aware of our policy regarding missed appointments.

Appointment Cancellation - When you book your appointment, you are holding a space on our calendar that is no longer available to our other patients. In order to be respectful of your fellow patients, we ask that if you must cancel or change an appointment, you give us at least 48 hours (two business days) notice (during business hours) to offer that time to another patient. We respect and value your time and we ask that you do the same for ours. We understand that true emergencies do happen, and we can make special considerations for these situations..

How to Cancel Your Appointment - If you need to cancel your appointment, please call us at 1-888-445-5372 between the hours of 8am-4pm (Mon-Thu). If necessary, you may leave a detailed voicemail message. We will return your call as soon as possible.

Late Cancellations/No-Shows - A cancellation is considered late when the appointment is canceled less than 48 hours before the appointed time. A no-show is when a patient misses an appointment without canceling. In either case, we will charge the patient a $65 missed appointment fee.

Appointments

We realize that most people seeking orthodontic treatment have important obligations during the day. During active treatment, most patients are seen every eight to twelve weeks. Our goal is to have as few of these appointments conflict with work or school as possible. We have put much effort and time into designing our scheduling system. Here is what we want to do: We want to see you on time for your appointments and to have plenty of time during each appointment to do the necessary treatments, give you information about your treatment and answer any questions. We also want to work with you around your school and work hours as much as possible. Thus, we need both structure and flexibility in the schedule.

Longer Appointments

There will be a few longer appointments during your treatment. These appointments will be scheduled during school/work hours which allows us to accommodate as many families as possible for after-school/work appointments.

Shorter Appointments

Due to technical advancements, many orthodontic appointments are blissfully short. Since these appointments do not require a lot of time, they can be done in all of our full-service offices.

Late Arrival

Because the schedule is carefully crafted, your late arrival can pose a problem. If you arrive late, we may need to reschedule your appointment when there is adequate time to provide the necessary care. If we have to reschedule an after school/work appointment, it will be rescheduled during school/work hours so that you can be seen without delay.

Rescheduled Appointments

Appointments are usually scheduled eight to twelve weeks in advance. We will be better able to accommodate rescheduling your appointment with advanced notice. Appointments that are canceled on short notice or missed need to be rescheduled promptly so that treatment progress is not adversely affected. Please notify us within 48 hours if you need to reschedule an appointment.

Orthodontic First-Aid 

Please understand that although we try to keep a variety of emergency times available, we may not be able to offer you your “ideal” time for an emergency appointment. If the office is closed and you would like us to contact you when we return to the office, please leave a message on our answering machine or e-mail.
